Subscription Management
Manage your subscription end to end — trials, upgrades, downgrades, cancellation, and the full subscription lifecycle.
This page covers every action an Owner can take on a workspace subscription, and explains the states a subscription moves through over its life. For who is allowed to do these things and why, see How Billing & Features Work.
All subscription actions are performed from the user menu → Compare Plans. Only the workspace Owner sees these controls.
Free Trials
New workspaces begin on a time-limited free trial that grants access to paid features so you can evaluate the platform.
- While the trial is active, a banner appears at the top of the dashboard: "X days left in your free trial."
- Click Choose a plan in the banner (or open Compare Plans) to subscribe before the trial ends.
- If the trial ends without a subscription, the workspace falls back to the most limited tier and paid features are locked until you subscribe.
Subscribing during the trial does not waste remaining trial days — your paid features continue uninterrupted, and billing follows the plan and frequency you select.
Upgrading
To move to a higher plan:
Open Compare Plans and locate the target plan card.
Click Upgrade (or Choose Plan).
Choose how the upgrade should apply:
- Upgrade Now — the new plan applies immediately. Stripe processes a pro-rated charge for the remainder of the current billing period, and all newly included features and higher quotas unlock right away.
- Schedule Upgrade & Pay — the upgrade takes effect at the start of your next billing cycle. Your current limits remain in place until then, and the new plan's first full charge is processed on the renewal date.
If you are on a free trial or the free tier, upgrading takes you straight to Stripe Checkout to enter payment details and finalize the subscription — there is no timing dialog.
Downgrading
Downgrades are intentionally deferred to your renewal date so you don't lose features mid-cycle after you've already paid for them.
On Compare Plans, click Downgrade at Renewal on a lower plan card.
A notification banner confirms the scheduled change: "Downgrade scheduled — switching to [Plan] on [Date]. Your current plan remains active until then."
The lower plan, with its features and quotas, applies automatically on the renewal date.
You can reverse a scheduled downgrade any time before the renewal date by clicking Cancel change inside the banner.
Downgrading never deletes content. If your usage exceeds the new plan's limits, existing items remain viewable but you can't create new ones in that category until you're back under the cap. Features the new plan doesn't include become locked. See what happens when the plan changes.
Cancellation
Canceling stops future renewals but keeps your plan fully active until the end of the current paid period. After that date the workspace reverts to the most limited tier — paid features lock, quotas drop to baseline, and your data is preserved in a read-only state for those features. Re-subscribing at any time restores everything immediately.
Subscription Lifecycle
A subscription moves through a predictable set of states. Knowing the current state explains exactly what your workspace can do right now.
| State | What it means | Feature access |
|---|---|---|
| Trialing | New workspace within its free-trial window. | Paid features available until the trial ends. |
| Active | A paid plan is in good standing and set to renew. | Full access to the plan's features and quotas. |
| Set to cancel | Active, but auto-renew is turned off; it will end at period end. | Full access until the period ends, then reverts. |
| Past Due | A renewal payment failed; in a grace period. | Still working — but the Owner must fix payment soon. |
| Canceled / Expired | The paid period has ended without renewal or payment. | Paid features locked; data preserved until you re-subscribe. |
Whether a subscription will renew comes down to one setting: auto-renew. An Active subscription renews automatically; turning on cancellation simply switches auto-renew off so it ends cleanly at the period boundary.
Payment Failed (Past Due)
If a renewal charge fails, a banner appears: "Payment failed. Update your plan within X day(s) to keep your plan," with a Manage billing link. The workspace keeps functioning during this grace period.
- Resolve it by updating your payment method — the charge retries and the subscription returns to Active.
- Ignore it and, once the grace period ends, paid features are suspended exactly as with a cancellation. They resume instantly when a successful payment is made.
