Billing FAQ

Quick answers to the most common questions about plans, subscriptions, feature access, and payments.

Plans & Ownership

Who can change our plan or payment details? Only the workspace Owner. Editors and Viewers don't see billing controls. See How Billing & Features Work.

Is billing per user or per workspace? Per workspace. One subscription covers the whole team. If you belong to multiple workspaces, each has its own plan and invoices.

We changed who runs the account — does billing move too? Yes. Transferring workspace ownership transfers billing responsibility. Ensure the new Owner has a valid payment method first.


Features & Access

Why is a feature locked for me but not for a colleague? Either you're in different workspaces on different plans, or the feature is unlocked but your role doesn't permit it. Access requires both the plan and the role. See Feature Access.

A button is greyed out with a "limit reached" message — is that the same as locked? No. That's a quota limit, not a feature lock. Upgrade for a higher quota, or free up usage by deleting unused items. See Usage Limits & Quotas.

I upgraded — when do new features appear? Immediately for an Upgrade Now, or at the next renewal for a scheduled upgrade. No need to refresh roles or re-invite anyone.


Changes & Timing

If I downgrade, do I lose my sites and content? No. Your data is preserved. You simply can't create new items above the lower plan's limits, and features the lower plan excludes become locked until you upgrade again.

When does a downgrade take effect? At your renewal date. You keep your current features for the rest of the period you've paid for, and you can cancel the scheduled change before then.

What happens if I cancel? Your plan stays fully active until the end of the current paid period, then reverts to the most limited tier. Your data remains; paid features pause until you re-subscribe.


Payments

What happens if a payment fails? The subscription goes Past Due with a grace period. Update your payment method to retry the charge. If the grace period lapses, paid features are suspended until payment succeeds. See Subscription Management.

Where do I get an invoice for accounting? The Payment History tab. Use Download PDF for a formal invoice or View Details for the Stripe-hosted receipt. See Invoices & Payments.

Is yearly billing cheaper than monthly? Yes — yearly billing is offered at a discounted effective rate. Toggle Monthly / Yearly on the Compare Plans page to compare.
